INSPECT FORGE LLC ("INSPECT FORGE LLC", "we", "us", or "our") operates the website www.inspectforge.com and the InspectForge inspection management software (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

2. Information We Collect

2.1 Information You Provide

• Account Information: Name, email address, company name, phone number
• Payment Information: Processed securely through Stripe (we do not store credit card details)
• Inspection Data: Reports, photos, notes, and other content you create using our Service
• Contact Forms: Information you submit through our contact forms
• SMS Consent: Phone number and text messaging opt-in preference, collected during the pre-inspection agreement signing process. We record the date and time of your consent for compliance purposes

2.2 Automatically Collected Information

• Usage Data: Pages visited, features used, time spent on the Service
• Device Information: IP address, browser type, operating system, device type
• Cookies: We use cookies and similar tracking technologies (see our Cookie Policy)

3. How We Use Your Information

• Provide, maintain, and improve the Service
• Process transactions and send related information
• Send administrative information, updates, and security alerts
• Respond to your comments, questions, and customer service requests
• Monitor and analyze usage trends and activities
• Detect, prevent, and address technical issues and fraudulent activity
• Send marketing communications (with your consent, where required)
• Send transactional SMS text messages about your inspections (booking confirmations, reminders, schedule changes, and report delivery) when you have opted in
• Provide AI-assisted features, including photo analysis, comment and report drafting, audio transcription, and template generation (see Section 4)

4. Information Sharing and Disclosure

We may share your information with:

• Service Providers: Third-party vendors who perform services on our behalf (e.g., Stripe for payments, Resend for emails, Twilio for SMS text messaging, Azure for hosting)
• AI Providers: OpenAI, L.L.C. and Anthropic PBC, who process content you submit to AI features in order to generate the response returned to you
• Analytics Partners: Google Analytics to understand how users interact with our Service
• Legal Requirements: When required by law, legal process, or government request
• Business Transfers: In connection with a merger, acquisition, or sale of assets
• With Your Consent: When you give us permission to share your information

We do not sell your personal information to third parties.

AI Processing

InspectForge's AI features — collectively branded MI6 — are built on our own inspection logic, prompts, and workflows, running on commercial AI models licensed from OpenAI and Anthropic. When you use an AI feature, the relevant content is transmitted to that provider solely to generate the response returned to you. Depending on the feature, this may include inspection photos, item comments and findings, property details, uploaded templates or documents, and audio you record or upload for transcription.

• Not used for model training: Neither provider uses data submitted through their commercial APIs to train or improve their models. This is a contractual commitment in their enterprise terms, not an account setting.
• Limited retention: Providers may retain submitted content for a limited period for safety and abuse monitoring in accordance with their published terms, after which it is deleted.
• Organization isolation: AI features operate only on your own organization's data. Content belonging to one organization is never used as context for another.
• Human review: AI output is a draft. Inspectors review and approve AI-generated content before it is delivered to a client.
• Accuracy: AI-generated content may contain errors and is not a substitute for professional judgment. The inspector remains responsible for the content of every report.

Some AI features are optional and can be disabled at the organization level in your account settings. If you would prefer that your organization's account not use AI processing, contact us at [email protected] and we can discuss the options available to you.

5. Google User Data and Third-Party Integrations

InspectForge offers optional integrations with Google services. They are off by default: nothing is accessed until you explicitly connect an account and grant consent on Google's own consent screen. This section sets out exactly what we request, why we request it, and how the resulting data is handled.

What we request, and why

• Google Sign-In (openid, email, profile) — used only to authenticate you and to create or match your InspectForge account. We receive your name, email address and profile picture.
• Google Calendar (https://www.googleapis.com/auth/calendar.events) — used to keep inspection appointments in step with your calendar. InspectForge creates, updates and removes the appointment events it manages, and reads existing events so that the online booking widget does not offer a time when you are already busy. This scope covers calendar events only; it does not permit us to create or delete calendars or change their settings.
• Google Drive (https://www.googleapis.com/auth/drive.file) — used to back up your reports, agreements, invoices and inspection photos to an "InspectForge Reports" folder. This is a per-file scope: it grants access only to files InspectForge itself creates. We cannot see, open or modify any other file in your Drive.

How this data is used

• Feature delivery only: Information obtained through Google APIs is used solely to provide the sign-in, calendar-sync and backup features you have enabled.
• Never used for AI: Google user data is never sent to OpenAI, Anthropic or any other AI provider, and is never used to train or improve any model, ours or anyone else's. This is a deliberate exclusion from the AI processing described in section 4.
• Never sold, never advertised against: We do not sell Google user data and we do not use it for advertising, profiling, or any purpose unrelated to the feature you enabled.
• Not shared: We do not transfer Google user data to third parties, except where we are required to by law.
• Minimal storage: For calendar sync we store the identifier of each event we manage, so that a later edit updates the correct entry. We do not copy the contents of unrelated calendar events into our systems.

Storage, retention and withdrawing access

Authorisation tokens are encrypted at rest and are used only to make the API calls described above. You can disconnect a Google integration at any time from your organisation settings. When you do, we ask Google to revoke the authorisation immediately, mark the connection inactive and clear the stored access token, and all syncing and backup stops. You can also review or withdraw access directly from your Google account at myaccount.google.com/permissions. Files already written to your Google Drive belong to you and remain there until you delete them. To request erasure of the remaining integration records we hold, contact [email protected].

Limited Use disclosure

InspectForge's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

6. Data Security

We implement appropriate technical and organizational security measures to protect your information. However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your data, we cannot guarantee absolute security.

7. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service. We will retain and use your information as necessary to comply with legal obligations, resolve disputes, and enforce our agreements.

8. Your Rights

Depending on your location, you may have the following rights:

• Access: Request access to your personal information

• Deletion: Request deletion of your information
• Portability: Request a copy of your data in a portable format

10. SMS Text Messaging

When you opt in to receive SMS text messages from InspectForge, we collect and store your phone number and consent status. This information is used solely to deliver transactional messages related to your inspection services, including booking confirmations, appointment reminders, schedule change notifications, and report delivery alerts.

Your phone number is shared with Twilio, our SMS delivery provider, for the sole purpose of sending text messages. Mobile opt-in data and phone numbers collected for this SMS program are never sold, rented, or shared with third parties or lead generators for any purpose. You may opt out at any time by replying STOP to any message. For more details, see Section 5 of our Terms of Service.

How We Collect Opt-In Consent

SMS consent is collected at two points within the InspectForge platform. No consent is assumed — users must affirmatively opt in before any SMS is sent. The opt-in screens below are shown to users inside app.inspectforge.com. Full program details, sample messages, and opt-out instructions are in Section 5 of our Terms of Service.

Our Service may contain links to third-party websites. We are not responsible for the privacy practices of these third-party sites. We encourage you to read their privacy policies.

12. Children's Privacy

Our Service is not intended for individuals under 18 years of age. We do not knowingly collect personal information from children under 18.

13. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. These countries may have data protection laws different from those in your country. We take appropriate safeguards to ensure your information remains protected.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new Privacy Policy on this page and updating the "Effective Date" at the top. We encourage you to review this Privacy Policy periodically.
